Drivers
The drivers module is the register of your driving staff — employment data, credentials and documents with expiry tracking, vehicle assignments and shift schedules. The driver detail page also carries two sensitive, manager-only views: retention risk and a data-protection panel.
Who it's for
The fleet manager and organization administrator manage the driver register and employment status. The compliance officer additionally adds and updates credentials and documents. The dispatcher additionally assigns drivers to vehicles and plans shift schedules. Retention risk is visible only to the fleet manager and organization administrator; the data-protection panel is handled only by the organization administrator.
Register, status and credentials
You register a driver with identifying data and assign them to a site; employment status controls whether the driver is available for assignments and scheduling. The driver detail page keeps a list of credentials and documents — driving license, certificate of professional competence, ADR (dangerous goods) endorsement, medical certificate, training — each with a number, issuing jurisdiction and expiry date. A credential nearing or past its expiry is flagged clearly on the driver detail page; a separate, filterable "expiring" view (with a 30/60/90-day window and a site filter) lists every credential across the fleet approaching its deadline in one place — useful for planning renewals ahead of time.
Assignments and shift schedule
You assign a driver to a specific vehicle — the assignment shows on both the driver's and the vehicle's detail page (see Vehicles). The shift schedule tracks a driver's planned work windows (start and end) — this is the basis the hours-of-service module uses to compute utilization and violations (see HOS clocks and duty status).
Retention risk and driver privacy
The retention-risk indicator is an explainable score built from three independent signals the platform already collects: overtime above a weekly baseline, a worsening safety-score trend, and short tenure (its weight fades linearly over the first year). Each component is capped independently so no single strong signal dominates the score; the result maps to one of three levels (low/medium/high), and the card also shows the rationale and the trend over time. This is a support-planning tool, not a punitive score — hence the deliberately calm palette and the access restricted to fleet-management roles.
The driver-detail data-protection panel gives the organization administrator two GDPR rights: exporting everything the platform holds about that person, and requesting erasure — with a clear distinction between what is removed immediately and what is held back under a statutory retention window. In the background
Every day at 6:00, the system scans every driver's credentials and raises an alert for any approaching expiry within a 30-day window — it reaches the compliance officer, the safety manager and the fleet manager. Every night, after the nightly safety-score recompute, retention risk is recomputed for every active driver so the trend reflects the freshest score.
